Why is it a good idea to seek the help of a specialist when dealing with official matters in Spain?

More and more Poles are choosing to live, buy real estate, or run a business in Spain. It is a beautiful country that offers many opportunities, but dealing with Spanish government agencies and institutions can be much more complicated than one might think.

Many of our compatriots try to resolve issues involving government agencies, the Spanish tax authority (Agencia Tributaria), administrative penalties, or disputes with insurance companies following a flood, fire, or other damage on their own. In doing so, they often rely on their experiences in Poland, assuming that similar procedures apply in Spain as well.

Unfortunately, that's not often the case.

The Spanish legal and administrative system differs from the Polish system not only in its laws but also in the way proceedings are conducted. Deadlines, proper procedures, appropriate reasoning, and the way documents are drafted are all important. Sometimes, a single improperly used phrase or sending a document to the wrong department can result in the rejection of an application or significantly prolong the entire process.

The situation is similar when dealing with insurance companies. After a loss occurs, it is not enough to simply describe what happened. It is crucial to present the facts correctly, gather the appropriate evidence, and draft a letter in accordance with applicable regulations and the insurer’s standard practices. The amount of the settlement—or even the decision to award it—often depends on this.

These days, many people use online translators and artificial intelligence-based tools, such as ChatGPT. These can be very helpful in understanding the content of documents or drafting a preliminary version of a letter.

However, they cannot replace the knowledge and experience of a specialist.

Artificial intelligence is not familiar with all the circumstances of a specific case, does not analyze the full documentation, does not represent the client before Spanish authorities, and is not always able to select the appropriate legal or administrative terminology. Furthermore, it cannot indicate which department or institution a given letter should be addressed to, nor can it determine which arguments will be most effective in a specific situation.

In Spain, success in legal proceedings often depends not only on knowledge of the law, but also on practical experience and the ability to communicate effectively with government agencies and institutions.

That is why, in matters involving the tax office, administrative penalties, insurance, real estate, or other administrative proceedings, it is worth seeking the assistance of someone who is not only fluent in Polish and Spanish but, above all, has an excellent understanding of Spanish regulations and the practical realities of how local government offices operate.

Professional assistance from the very beginning often helps you avoid costly mistakes and save time, money, and—above all—frustration.

Because in many cases, it's not about whether we can translate a document. It's about whether we know how to effectively defend our rights in Spain.
